Stop losing track of clients: a system for solo freelancers

Somewhere around your fifth active client, the mental model breaks. You forget who owes you money, what you promised on a call three weeks ago, or which file you actually sent. This is not a discipline problem, it is a tooling problem: memory and a WhatsApp thread are not a system.
The minimum you actually need
- One record per client with their contact info and current status
- Every project, proposal, and invoice for that client visible from that one record
- A place to jot notes right after a call, before you forget the details
- A quick way to search across clients when you can only remember a first name or a company
Why a spreadsheet stops working
Spreadsheets are fine for a client list. They fall apart the moment you need to attach a file, track an invoice status, or see history at a glance without scrolling through fifteen columns. At that point you are maintaining the tool instead of using it.
What "good" looks like in practice
